Cancellation Policy
This policy version is current as of 1 June 2026. Previous versions are archived and available on request. Material changes will be notified to active subscribers 30 days in advance of effective date. Prior versions remain on file and are available on request to accounts@centrasolve.com.
1. Overview
This Cancellation Policy describes how customers may stop their ongoing relationship with CentraSolve, what happens to active matters and data on cancellation, and what notice and timing applies. It is a companion to the Refund Policy (which addresses money already paid) and the Legal Terms (which addresses governing law, dispute resolution, and broader contractual matters).
2. Closure of an individual project, case, or engagement
Each module on the CentraSolve platform allows the customer to mark their work complete via the module workspace. The action is initiated by the customer; the wording differs by module to match professional conventions (close a project, close a case, archive an engagement) but the effect is consistent.
What closure means in practice
- Until the end of the current paid month, the customer retains full functionality on the closed matter — including the ability to continue working, run CentraSolver generations, produce reports, and revise content.
- After the current paid month ends, the closed matter transitions to a read-only state. The customer can view all content, download all documents and reports, and reference the audit trail — but cannot add new material, run new CentraSolver generations, or produce new reports.
- Closure cannot be reversed by the customer once the read-only state has taken effect. Reopening a closed matter requires admin action by CentraSolve, which may be subject to a reactivation arrangement depending on the time elapsed.
- All audit trails, AI-generation logs, document upload history, and produced reports remain on file in line with the platform's data retention practices (see Confidentiality Statement).
3. Cancellation of a recurring subscription
Applies to: Large Infrastructure Projects, Strategic Futures Planning, Corporate Restructuring practitioner subscriptions (Junior and Senior tiers), Business Rescue practitioner subscriptions (Junior and Senior tiers), and CentraSolver Expanded and Unlimited.
How to cancel
Cancellation is initiated via My Services — next to the active subscription, the customer clicks "Cancel subscription". A confirmation prompt is shown summarising the effect of cancellation; the customer must confirm to proceed.
Minimum commitment period
Recurring subscriptions require at least one full month of active subscription before cancellation may be initiated. A subscription that has been active for less than one full calendar month from its activation date cannot be cancelled in the standard manner; the customer must contact accounts@centrasolve.com to discuss a special arrangement.
Effective date and final billing
- The cancellation is recorded on the date the customer initiates it via My Services.
- The cancellation takes effect at the end of the current paid month — regardless of which day of the month it was initiated. A cancellation initiated on the 1st of a month or the 28th of a month both result in cancellation effective at month-end.
- The customer retains full subscription access until the cancellation takes effect.
- The current month's payment is not refunded. Recurring subscriptions are paid monthly in advance; once paid, the month runs to completion.
Reversal of cancellation
A customer who has cancelled but is still within the wind-down period (i.e. before the cancellation has taken effect) may reverse the cancellation at any time via My Services. Reversal marks the subscription as active again, all functionality returns automatically, and no admin intervention is required. This is a self-service feature designed to protect against accidental cancellations and to support customers who change their mind.
What happens after cancellation takes effect
- Recurring billing stops. No further automatic charges occur after the final paid month.
- For card-paid subscriptions: the recurring authorisation with Paystack is deactivated.
- For EFT-paid subscriptions: no invoice is generated for the following month; access blocks automatically at month-end.
- Matter access transitions to read-only. All matters previously worked under the subscription remain accessible for view and download; new work and new CentraSolver generations are not available.
- Matter data is preserved. The matter is retained on the platform indefinitely for read-only access, subject to the broader Data Retention provisions in the Confidentiality Statement.
4. Cancellation of a one-time engagement pass
Applies to: Bankability and Viability engagements.
The Bankability and Viability engagement pass is a once-off purchase entitling 30 days of platform access from activation. There is no recurring component; the pass expires automatically at the end of the 30-day window.
A Bankability and Viability engagement pass cannot be "cancelled" in the recurring-subscription sense. If the customer wishes to discontinue use, they simply stop accessing the engagement. Pre-activation refund options are described in the Refund Policy.
5. Subscription reactivation
If a customer has cancelled a subscription and wishes to reactivate after the cancellation has taken effect, they may do so by initiating a fresh subscription on the pricing page. The new subscription period starts on activation of the fresh payment; previously closed matters under the old subscription remain in read-only state and require admin action to reopen for new work.
6. Cancellation initiated by CentraSolve
CentraSolve reserves the right to terminate a subscription or close a matter where:
- Payment for a recurring subscription has not been received by 14 days after the due date and reasonable efforts to contact the customer have not resolved the matter
- The customer is in material breach of the platform's terms of use, including but not limited to: misuse of the BRP licence verification system, abuse of the AI assistant beyond fair-use limits, attempts to bypass platform access controls, or violation of confidentiality undertakings
- The customer's account or activity is implicated in fraudulent, illegal, or regulatory-enforcement matters
In such cases the customer is notified by email; an explanation is provided; and access is suspended in line with the breach severity. Matter data is preserved during any suspension or termination period for the duration specified in the Confidentiality Statement.
7. Customer's right to obtain data after cancellation
Customers retain the right to export their data at any time, including after cancellation. The platform's Export feature (available in My Services or via the user dropdown) generates a portable archive of the customer's matters, documents, reports, and audit trails. This right exists independently of the subscription state and is consistent with the customer's data-subject rights under POPIA, GDPR, and UK GDPR (see the Confidentiality & Data Protection Statement).
8. Special and enterprise arrangements
Cancellation terms for Enterprise contracts, custom multi-module arrangements, and engagements arising from special requests may differ from this standard policy. Such terms are specified in the individual contract or letter of engagement and take precedence over the standard policy stated here.
